Maintaining current health and safety statistics in a central location is a major part of a good health and safety program. Many policies, procedures, notices, statements, and reports are necessary to fulfill legal and health and safety program requirements. Companies need to establish a system to record and review statistics in order to recognize hazard trends and monitor the success of their health and safety program. Records, reports and other performance measures must also be reviewed in order to establish areas of the safety program that need improvement. This review is an essential element for preventing future accidents and injuries.

In order to achieve this, IHSA recommends that companies perform annual reviews of documents such as incident reports, accident investigation reports, lost-time injuries, and JHSC minutes if any.

Roles and Responsibilities

Another key ingredient for tracking incidents is to establish clear roles and responsibilities. For example:

Workers

Responsible for reporting all accidents, incidents, first aid occurrences, and equipment damage to supervisors.

Supervisors

Responsible for sending all relevant health and safety information to the head office and following up with procedures to prevent subsequent occurrences.

Management

Responsible for:

  • Maintaining all records
  • Monitoring injury frequency
  • Compiling information for the annual health and safety review
  • Ensuring follow up of all action items from the annual review.

It is important to remember that knowledge of past incidents, accidents, lost-time injuries, incidents of occupational illness, etc., and taking steps to address them will help prevent future ones from occurring.
